LWSTC Party Policy 2023
For swim season 2023, social chair Rachel Peavy will be the contact for all party bookings. She will walk you through the process, answer any questions you may have, advise you of the amount due, and secure lifeguards, if needed, for your party.

Steps for Booking a Party
At least three (3) weeks in advance, contact social@lindmoorwoodspool.com (Social) with the following information:
· Date of partyThe Social chairs will let you know if your request is approved and send you an invoice for the event. Within seven (7) days of verification of the party date, you must pay the total fee, including lifeguard fees, by logging into the website and paying the invoice we will email to you.
Once the total fee is paid, Social will contact SEARS Pool Management to reserve lifeguards, and your party will be officially booked on the pool calendar. There are no changes without prior approval once your party is booked. Your guest list must be provided one week prior to the party.
PLEASE NOTE: If you want to schedule a party in August or September, you must make your request by August 1st due to limited availability of lifeguards after school starts.

What constitutes a party?
If you are bringing six (6) or more member or non-member guests, you are required to book and pay as a party.
We have a two-hour minimum for parties and a three-hour maximum. No more than 50 guests are allowed.
When will I need extra lifeguards? If your party has 12+ guests, you will need to pay for extra lifeguards. The number of additional lifeguards you will need depends on the number of total guests you will have at your party:
The cost is $45 per lifeguard per hour.
The deposit is fully refundable only if the party area has been fully cleaned.
Example: If you are having a 2-hour party with 15 guests you will need 1 extra lifeguard, and you will be required to pay $90 for the lifeguard in addition to the $75 party fee and $75 refundable deposit for a total of $240.
Example: If you are having a 3 hour party with 30 guests you will need 2 extra lifeguards, and you will be required to pay $270 for the lifeguards in addition to the $75 party fee and $75 refundable deposit for a total of $420.
The party coordinator will arrange for additional lifeguards once your total fee is paid.

*Parties are not permitted for more than 50 guests. The maximum party length is 3 hours.
What are the requirements for adult supervision during a children’s party?There must be one adult supervisor for every five guests under the age of 18. The adult supervisors should assist with monitoring and controlling behavior and be aware of all pool rules. They are to be in close proximity to the under-18 party guests. Please remember that adult supervisors are considered guests and must be included in the total guest number.
What if the pool party has to be cancelled due to severe weather?If the pool is closed the date and time of your party due to inclement weather you will be refunded with all but $25.00 of the party fee, or you can reschedule by making arrangements with Social. If the pool has to be closed for other reasons, we will refund all of your money or reschedule. It can take up to two weeks for refunds to be processed.
If you decide to cancel your party due to severe weather conditions, please call or text Rachel Peavy at 678-634-1758 at least 4 hours before the party start time. This will allow us time to cancel the extra lifeguards.
