LWSTC Party Policy 2024

For swim season 2024, social chair Krista Alford will be the contact for all party bookings. She will walk you through the process, answer any questions you may have, advise you of the amount due, and secure lifeguards, if needed, for your party.

Steps for Booking a Party

At least three (3) weeks in advance, contact social@lindmoorwoodspool.com (Social) with the following information:

·       Date of party
·       Time of party
·       Location (covered deck or pavilion)
·       Number of guests
·       Age range of guests
·       Contact number
·       Email address

The Social chairs will let you know if your request is approved and send you an invoice for the event. Within seven (7) days of verification of the party date, you must pay the total fee, including lifeguard fees, by logging into the website and paying the invoice we will email to you.

Once the total fee is paid, Social will contact SEARS Pool Management to reserve lifeguards, and your party will be officially booked on the pool calendar.  There are no changes without prior approval once your party is booked.  Your guest list must be provided one week prior to the party.

PLEASE NOTE:  If you want to schedule a party in August or September, you must make your request by August 1st due to limited availability of lifeguards after school starts.

Frequently Asked Questions

What constitutes a party?  

If you are bringing six (6) or more member or non-member guests, you are required to book and pay as a party.
We have a two-hour minimum for parties and a three-hour maximum.  No more than 50 guests are allowed.

Where are parties held?  
Parties may be held under the pavilion by the restrooms or on the wooden deck near the baby pool, your choice, whichever is available. 
When are parties held?  The party areas are available for parties during open pool hours which are posted on our website. The pool IS NOT available for parties during following times/days:

• Fridays after 5 pm.
• During pool social events or other membership events
• During Swim Team practice
• During Swim Meets
• Memorial Day Weekend
• The Fourth of July
• Labor Day Weekend

No more than two parties may be scheduled at the same time and party sizes may restrict the parties to only one at the same time on the same date.    

When will I need extra lifeguards? If your party has 12+ guests, you will need to pay for extra lifeguards. The number of additional lifeguards you will need depends on the number of total guests you will have at your party:

• for 12-25 guests: 1 lifeguard  
• for 26-50 guests: 2 lifeguards

The cost is $45 per lifeguard per hour. 

The deposit is fully refundable only if the party area has been fully cleaned.

Example: If you are having a 2-hour party with 15 guests you will need 1 extra lifeguard, and you will be required to pay $90 for the lifeguard in addition to the $75 party fee and $75 refundable deposit for a total of $240.

Example:  If you are having a 3 hour party with 30 guests you will need 2 extra lifeguards, and you will be required to pay $270 for the lifeguards in addition to the $75 party fee and $75 refundable deposit for a total of $420.

The party coordinator will arrange for additional lifeguards once your total fee is paid.  

Who counts as a guest?

• LWSTC members are considered party guests if they are invited to your party
• All adult supervisors are considered party guests
• All swimmers and non-swimmers are considered guests
• All non-members are considered guests
• All children, regardless of age are considered guests.
• The immediate family (those who are members of LWSTC) hosting the party are not counted in the number of guests.
  

All LWSTC members and non-member guests’ names must be included on your Party Roster Form.

*Parties are not permitted for more than 50 guests. The maximum party length is 3 hours.

What are the requirements for adult supervision during a children’s party?

There must be one adult supervisor for every five guests under the age of 18. The adult supervisors should assist with monitoring and controlling behavior and be aware of all pool rules. They are to be in close proximity to the under-18 party guests. Please remember that adult supervisors are considered guests and must be included in the total guest number.

What if the pool party has to be cancelled due to severe weather?

If the pool is closed the date and time of your party due to inclement weather you will be refunded with all but $25.00 of the party fee, or you can reschedule by making arrangements with Social. If the pool has to be closed for other reasons, we will refund all of your money or reschedule. It can take up to two weeks for refunds to be processed.    

If you decide to cancel your party due to severe weather conditions, please call or text Rachel Peavy at 678-634-1758 at least 4 hours before the party start time. This will allow us time to cancel the extra lifeguards.

What if the member/host wants to cancel the party after paying?
If you cancel the party after it has been scheduled, for reasons other than pool closure or weather, you will be refunded with all but $50.00 of the party fee.  It can take up to two weeks for refunds to be processed.

What is the host member responsible for?

• Booking the party.
• Submitting all forms and fees on time. Failure to follow the procedure will result in cancellation.
• Attending the party from start to finish.
• Managing and accepting FULL RESPONSIBILITY for the conduct of all party guests.
• Cleaning the area where the party was held after the party. Brooms and dustpans are available at the Shark Shack. Please bring your own cleaning cloths, spray, etc.
